Privacy Policy

This policy explains how the Harrison Hoya Baseball Booster Club (“we”) handles information on the harrisonhoyabaseball.com website and in the Hoya Baseball mobile app (together, the “Services”). We are a volunteer parent organization supporting the baseball program at Harrison High School in Kennesaw, Georgia.

The short version

The Services exist to share schedules, rosters, announcements, and sponsor information with families and fans. We do not sell information, we do not run advertising networks, and we do not ask you to create an account or sign in.

Information we collect

Information you give us

You can browse the website and use the app without giving us anything. If you email us, register for a camp, sign up for a fundraiser, or fill in a sponsorship form, you provide the details that form asks for — typically a name, email address and phone number. Camp registration, completed by a parent or guardian, also asks for the player’s name, rising grade and any allergy or medical notes you choose to share. Card payments are processed by Square; card numbers go straight to Square and are never stored by us.

Information collected automatically

Our website host records standard server logs, including IP address, browser type, and which pages were requested. These are used to keep the site running and to understand roughly how much it is being used. Apple provides us with anonymous, aggregated app statistics such as download and crash counts; these cannot be traced back to an individual.

Push notifications

If you turn on notifications in the app, your device is issued an anonymous token that lets us send game updates and announcements. That token is not linked to your name or email. Turning notifications off in your device settings stops this at any time.

Information about students

The Services publish information about members of the baseball program, including players who are under 18: names, jersey numbers, class year, positions, photographs, college commitments, and team achievements. This is the same information published in game programs and on the school’s athletics pages.

This information is provided by the school and the program’s coaching staff, and is published in line with the school district’s directory-information and media- release policies. We do not knowingly collect information directly from children through the Services — the app has no sign-up, no messaging, no profiles, and no way for a young user to submit anything about themselves; camp registrations are completed by a parent or guardian.

If you are a parent or guardian and would like your child’s name or photograph removed, email us at harrisonhoyabaseball@gmail.com and we will take it down. You do not need to give a reason.

Payments

Camp registrations, sponsorships, and event tickets are processed by a third-party payment provider. Card numbers are entered on that provider’s systems and are never sent to us or stored by us. We receive only a record of the transaction — who paid, for what, and when — which we keep for the booster club’s financial records.

Who else is involved

We use a small number of service providers to run the Services: a content management system that stores the schedules, rosters, and announcements we publish; a web host; and the payment provider described above. Each of them handles data on our behalf under their own privacy terms. We do not share information with anyone else except where we are legally required to.

How long we keep things

Published program content — rosters, schedules, records, and program history — is kept indefinitely, because it is the historical record of the program. Contact details from forms are kept for as long as needed for the season and the booster club’s records. Server logs are kept for a short period by our host.

Your choices

You can turn off push notifications in your device settings, and you can decline non-essential cookies in your browser. You may ask us what information we hold about you, ask us to correct it, or ask us to delete it, by emailing harrisonhoyabaseball@gmail.com. Depending on where you live, you may have additional rights under laws such as the Georgia Consumer Privacy Protection Act, the California Consumer Privacy Act, or the GDPR; we will honour those requests regardless of where you live.

Security

The Services are served over encrypted connections, and access to the content management system is limited to a small number of booster club volunteers. No system is perfectly secure, but we hold very little sensitive information in the first place — which is the most effective protection available to an organization our size.

Changes

If this policy changes we will update the date at the top of this page. Material changes will be noted in an announcement in the app.
